Data Fiduciary: HEBRON MISSION SCHOOL acts as the sole Data Fiduciary and owner of all student, parent, and faculty records. Nexzen System provides the cloud infrastructure and software framework as our authorized technical processor.

To support daily school operations, online admissions, report card generation, and fee management, we maintain the following records:

Student Profile Records

Student names, Roll/Admission numbers, Date of Birth, Gender, Class/Section, Previous school records, Aadhar/Govt IDs (encrypted).

Parent & Guardian Data

Father/Mother names, Occupation, Mobile contact numbers, WhatsApp numbers, Email addresses, and Residential address.

Fee & Transaction History

Fee structures, Monthly due invoices, Payment receipts, and Payment gateway reference numbers.

Attendance & Biometrics

Daily classroom attendance records, Punch/RFID scan logs, leave requests, and staff check-in timestamps.

3. How Educational Data is Used

All data processed by HEBRON MISSION SCHOOL is strictly restricted to educational and administrative purposes:

  • Academic Operations: Publishing exam timetables, generating report cards, merit lists, and transfer certificates (TC).
  • Real-Time Parent Alerts: Sending instant push notifications for student absentees, emergency announcements, and fee payment receipts.
  • Admissions & Student Registry: Processing online application forms submitted via /admission.

4. Data Security & DPDP Compliance

HEBRON MISSION SCHOOL adheres to India's Digital Personal Data Protection (DPDP) Act 2023 standards:

  • SSL/TLS Encryption: All data transmitted between browsers, mobile devices, and servers is encrypted using 256-bit SSL protocols.
  • Role-Based Access Control: Access to sensitive student information is password-protected and restricted to authorized school staff.

5. Mobile App & Push Notifications

Our official school mobile applications utilize Firebase Cloud Messaging (FCM) to deliver instant alerts to parents' mobile devices.

Device tokens generated by the app are exclusively used for operational push alerts (e.g. absent notifications, school circulars) and are never used for advertising.

6. Session Management & Cookies

Our portals use secure session cookies required for maintaining authenticated user logins for staff, teachers, and parents.

We do not track visitors across third-party websites or sell user data to advertising networks.

7. Data Sharing Guarantee

HEBRON MISSION SCHOOL NEVER sells, rents, or commercializes student or parent data under any circumstances.

Data is shared strictly with essential service providers necessary for school operations (such as payment gateways for fee payment and SMS gateways for OTPs).

8. Student Records & Guardian Rights

Student records are retained for the duration of the student's enrollment and as required by educational board regulations.

Parents and guardians may request corrections to their child's academic or contact details by contacting the school administration.
